Virtual Office Vietnam: Can You Register a Company?

A foreign investor may use a virtual office address to register a company in Vietnam if the specific location supports the planned business and the provider can document the company’s right to use it. Check the building, agreement, address documents and on-site needs before you sign.

What Is a Virtual Office in Vietnam?

A virtual office gives a business an address and selected support services without a dedicated full-time office. A package may include mail handling, meeting rooms or occasional desk access. Check the agreement to see exactly what you can use.

What Services Does a Virtual Office Typically Include?

Providers commonly offer an address, mail reception and access to meeting rooms. Some also forward letters or offer desks by the hour. Ask which services the base fee covers. An address-only agreement does not give your staff a permanent place to work.

Virtual Office vs. Serviced Office vs. Physical Office

A virtual office may suit a company whose team works elsewhere and needs an address, mail handling and occasional meeting space. A serviced office includes regular access to furnished workspace. A dedicated office gives the company space under its own lease and may better support daily staff presence or site-based operations.

Choose based on what the company will do at the location. For example, a team that only needs meeting rooms occasionally has different needs from a business that stores goods or receives clients every day.

Can a Foreign-Owned Company Use a Virtual Office as Its Registered Address?

Potentially, yes. A company needs an identifiable registered head office address in Vietnam. The term “virtual office” alone does not show whether an address is suitable. Assess the property, your right to use it and your proposed activities.

What Must You Check About the Address?

Ask for the full address and identify the exact unit or area in the building. Confirm its permitted use. Do not assume that a residential apartment can serve as office premises because someone offers a mail service there.

Next, consider what will happen at the site. Will employees work there? Will clients visit? Will the company store goods or operate equipment? If so, confirm that the space and building rules support those activities.

What Documents Should the Provider Supply?

Ask for the service or lease agreement and documents that identify the premises. The provider should also explain its right to offer the address for your company’s use. Confirm which documents you need for your particular IRC or ERC application before paying for a package.

When Might a Virtual Office Be Unsuitable?

An address and mail service may meet the needs of a business that works mainly online, subject to a review of the property and filing. A company with regular staff or client visits should check desk space, meeting room access and opening hours. A business that needs storage, production or other site-based activity should assess suitable premises separately. A mail-handling address may cover its registered office needs without meeting its operational needs.

What Should Foreign Investors Check Before Signing?

Send the provider this checklist and request written answers:

  • Property: What exact address and unit will the company use? Does the building permit the proposed use?

  • Agreement: Does the provider have the right to offer that address? Does the contract allow company registration?

  • Duration: Will the agreement cover incorporation and early operations? What happens if the provider moves?

  • Signage: Where can the company display its name, if needed?

  • Mail: Who receives official letters, when will they notify the company, and how will they forward originals?

  • Access: Can staff work there or book a meeting room? What are the hours and additional fees?

  • Documents: What property and address records will the provider supply for the application?

Pay particular attention to official mail. The company must be able to receive a letter and act on it promptly even when its team works elsewhere.

How Does the Address Fit into Company Incorporation?

Choose the address before finalizing the application. This gives you time to check the property and match the agreement with the information you plan to file.

Select the Address Before Preparing the Application

List your planned business activities and identify where each activity will take place. Then assess whether the proposed address can support the company’s registered head office and any work planned at that site.

Match the Documents with the Activities

Your registered head office, project location and day-to-day workplace may have different roles. Check each one against the proposed business. An address service does not automatically provide the premises needed for a site-based activity.

Coordinate IRC, ERC and Post-Registration Tasks

Follow this order: define the activities → check the premises → confirm the address documents → prepare the relevant IRC/ERC information → arrange mail and site access. The incorporation route depends on the investment structure. See VINEX’s Vietnam incorporation guide for the wider process.

What Does a Virtual Office in Vietnam Cost?

Compare packages by what they include. A low base fee may exclude services the company will need after registration.

What Does the Base Fee Cover?

Ask whether it covers the address, agreement, supporting documents, mail reception and notification. Confirm the contract period, payment schedule and any deposit.

Which Services Cost Extra?

Check the fees for forwarding mail, courier delivery, meeting rooms, desks, signage and help with a future address change. Ask about early termination and any charge if the company needs more space. VINEX describes its available services on its Secretarial Services page; request a quotation for the specific package.

What If Your Company Needs a Physical Office Later?

You can move when the team or business activities require different premises. Review the new location before ending the old agreement so you continue to receive official mail.

Check whether you need to update the company’s registration, investment and tax records. Also review the address shown on contracts, invoices, bank records and signage. A registered head office change requires the applicable registration procedure; forwarding mail to a new location does not complete that change.
